What to look for

How to choose clinic management software for a small clinic

Most clinic software can book an appointment. Once there's a team and more than one room, these three things decide whether a system saves your clinic time or creates more of it.

Every diary, room and resource at a glance

Double-booked rooms and phone calls between colleagues happen when reception can't see everyone's availability in one place. Look for a diary overview that shows practitioners, rooms and equipment together.

In PPS: each practitioner keeps their own diary, with a diary overview, room and equipment management, waiting lists and staff scheduling for the whole team.

Billing beyond the patient in front of you

Clinics invoice insurers, employers and other contracts as well as self-pay patients. Check the system can bill a third party and track what they owe.

In PPS: third-party and insurer billing, with an optional Healthcode integration, alongside Dojo card payments.

Pricing that suits part-time staff

A licence per named user gets expensive when associates work two days a week or locums cover holidays. Ask how a clinic with a mix of full-time, part-time and locum staff is charged.

In PPS: concurrent-user pricing on every package, so you add unlimited named users and pay for who is logged in at the same time.
Pricing

What clinic management software costs with PPS

FAQs for single location clinics

Clinic management software, sometimes called clinical management software, is a single system that runs the day-to-day work of a private clinic: the appointment diary, patient records and clinical notes, invoicing and payments, reminders and reporting. PPS brings all of this together for clinic teams, with a diary overview of every practitioner and room, insurer billing and full reports.

The best software for a small clinic gives you a diary overview of every practitioner, room and piece of equipment, billing for insurers and other third parties as well as patients, reports the owner will actually use, and pricing that doesn't charge a full licence for every part-time colleague. PPS is built around those needs, with concurrent-user pricing, a 30-day free trial and UK-based support.

PPS starts from £50 a month for the first user and £25 for each additional user, and PPS Express starts from £16.80 per user, per month. Both are priced on concurrent usage, so you can add every member of staff, including part-time colleagues and locums, and only pay for the number of people logged in at the same time. It's a rolling monthly subscription with 30 days' notice, and prices exclude VAT where applicable. See full pricing.

Yes. Each practitioner has their own diary, and the PPS diary overview lets reception and the wider team see every practitioner, treatment room and piece of equipment in one view, so they can check who and what is free before booking. Waiting lists help you fill short-notice gaps.

Yes. With the online booking add-on, patients can book with any of your practitioners from your website at any time and pay as they book through an integrated Dojo payment screen. Bookings go straight into the clinic diary, and confirmations and reminders are sent automatically. Explore online appointment booking.

Yes. PPS integrates with Dojo, so you can take card payments at reception and have each payment recorded against the patient's visit, with no separate till or manual reconciling. Dojo payments typically reach your account within 24 hours. See our integrations.

Yes. PPS supports third-party and insurer billing, so you can invoice an insurer, employer or other organisation for a patient's treatment and track what each one owes. Claims can also be sent through our optional Healthcode integration. PPS can manage the clinic's accounts itself, or you can export them to Xero and other accounting software.

No. PPS runs the whole clinic, with rooms, waiting lists, insurer billing, stock and full reports, and practitioners can work in it directly. PPS Express is optional: some clinics add it for practitioners, and smaller teams that don't need rooms or insurer billing can start with PPS Express on its own and move to PPS later. Both are priced on concurrent usage.

Both. PPS Online is a cloud-based service you access through your web browser, and PPS Express also runs in the browser on any device. If your clinic prefers software installed on its own computers, PPS Onsite is available from £35 a month plus £15 per additional user. How we keep data secure.

PPS includes a full reports suite covering revenue, appointments, practitioner activity, outstanding invoices and other key performance indicators, so you can see how the clinic and each member of the team is doing. Custom dashboard charts put your key figures in front of you as soon as you log in. Explore reporting.
